My suggestions
I want to know more

Everyone in the group should host once every year.  Some people don't like being the host, I am not one of those.   I enjoy being the host, and getting everything set up.  If someone in the group does not want to host, or can't for some reason, most likely someone else in the group won't mind doing it 2 times in a year.

We have a bag, which we call the hostess bag(I don't know how we came up with that name: )  This bag always has the game itself in it, our place cards, the question notebook, our group roster, and other group rosters, and our donation envelope.

After every bunco night, the hostess packs up the bag and gives it to the hostess for the next month.

We give our hostess alot of responsibilites!  But she can't complain because we do pay her. : )

Our hostess is responsible for setting time, and place for next bunco night.
Contacting everyone and confirming that all can make it.
Setting up and cleaning up after game.
Having refreshment plan for next month taken care of, and everyone knows what they are bringing.

Refreshments aren't a necessitie, but what good is hanging out with the girls and playing games, if there isn't any junk food?

This is how we do it, since there are 12 people, we divide them into 2, and 2 people are bringing the same kind of stuff.  For example:
2 people bring        drinks
2   bring    paper products(napkins, cups, ect.
2   bring     chips and dip
2   bring     cookies, brownies, anything sweet
2   bring     veg/cheese tray
2   bring     finger sand., lunchmeat, bread ect.
This is just an example, but you always want to make sure you know what everyone is bringing, so you don't have 12 people bring cookies.. : )
